CapProSoft
This software has two integrated modules: Capital Project Planning and Reporting Tool (CPPRT) allowing a district to track all aspects of a capital project on a multi-year basis. It generates all SED forms and enables a district to maintain accurate records, thus increasing fiscal accountability and ease of reporting. A second component, Facilities Assessment and Survey Tool (FAST), produces the school facilities report card and five-year plan. It maintains building data, allowing for reorganization and prioritization according to budget and facility needs.
CPPRT (Capital Projects Planning and Reporting Tool) enables a district to maintain accurate accounts and complete records of all transactions related to a capital project on a multi-year basis. It is unique as a tool for financial control because it addresses all aspects of a capital project in conjunction with reporting requirements stipulated by the State Education Department. It will generate SED forms and allow a project manager to check the project status at any time during the course of the project with a varierty of real-time reports.
FAST (Facilities Assessment and Survey Tool) meets NYS Comprehensive Public School Building and Safety Program reporting requirements. It produces the School Facilities Report Card in electronic format. It allows for interactive assessment of the physical plant between central office and assessment consultants in preparation of the 5-Year Plan. A district can update and maintain annual visual inspection forms for accurate and timely compliance, and allow for re-prioritization of tasks according to budgetary and facility needs.

Pricing:
Software licensing for CPPRT and FAST may be purchased as a one-time flat fee. Two days of web-based training and/or data entry are included with each module.
Software maintenance for both packages are charged annually. Maintenance fees include access to all software enhancements, annual User Meetings, and documentation.
RIC-hosting fees include a secure hosting environment, disaster recovery, and nightly backup of the district's database.
Additional fees may be charged for:
- Per diem training
- Hourly data entry fees
- Additional user licenses
Deliverables:
- 5-user licenses for access to the CapProSoft application (additional licenses may be purchased at cost).
- The vendor will provide two days of online training during the first year. In subsequent years, the vendor will provide one day of online training.
- Unlimited phone support from RIC staff and vendor
- SED forms and multi-year project reports
- Ability to archive completed projects for future reference
Hardware:
- Workstation with access to the Internet
- Printer for reports and forms
Software:
- Internet software and Internet Service Provider
DISTRICT RESPONSIBILITIES:
- During the implementation, the customer is responsible for providing the trainer with project data to ensure accurate development of initial forms.
- The customer is responsible for reviewing the district data and reporting any discrepancies to the WNYRIC for resolution.
- Training is required.
- If the staff needs additional training, it will be the customer's responsibility to request this training.
- District personnel are responsible for the security and integrity of the district's username and password used to log into CapProSoft.
- The customer will designate a contact person for communications between the WNYRIC and its customers.
- District is to notify the WNYRIC if the contact person for this service has changed
WNYRIC RESPONSIBILITIES:
- The WNYRIC will provide a means for purchasing necessary hardware and software to be utilized with this service.
- RIC staff will be the first line of support after the initial training and data entry is completed.
- Vendor support will be available for questions involving SED compliance and form completion.
- The CapProSoft application and District databases are hosted offsite at LHRIC, where nightly backups are performed. Additional backups occur nightly to a secondary Regional Information Center for added security.
- Districts whose capital projects have been completed may choose to archive the data and pay a reduced rate for the software, rather than dropping the software and losing the history of the data. Reinstatement to the full software for future use is quick and easy.
- The staff at the RIC maintain strict confidentiality while performing their duties for this service.
The WNYRIC utilizes cost effective best practices determined by research that allows our experienced and trained technical staff to perform robust testing and support of the WNYRIC network in the areas of security, infrastructure, energy management, virtualization strategies, disaster recovery and business continuity. Therefore, we are able to be a district advocate for vendor contract issues and aggressively negotiate contract pricing and performance terms.
Staff follow best practices in order to provide necessary security as it relates to the most recent student, teacher and principal data security and privacy regulations.
